What’s the best email service for business?

Learn the answers to the top 5 questions we receive about emails

Business emails play an important role in your business’s credibility and communication. However, choosing the best email service for business can be overwhelming with the endless options and you may be unsure of where to start.

That’s why we’ve compiled a list of our top five most frequently asked questions about the best email service for business.

#1: What’s the best email service for my business?

An email service that works best for your business and team is crucial to increasing productivity and communicating effectively, both internally and with external clients.

One of the most known email services is Gmail, a free email service provided by Google. However, Gmail is recommended for personal use and does not allow for custom domains. This is where Google Workspace, formerly G-Suite, comes into play for business. Google Workspace allows for custom email addresses and includes cloud-based applications, such as Drive, Sheets, Slides, Meet, and more. Google Workspace’s features allow for easy collaboration and communication between your business’s team.

Another popular option, and the most used by our businesses clients, is Microsoft 365, formerly Office 365. If your business uses other Microsoft applications, such as Word or Excel, this may be the best choice for your business. Microsoft 365 bundles all of Microsoft’s tools: Word, Excel, Powerpoint, OneDrive, Teams, and more. Microsoft 365 online also allows for live editing and collaboration on documents and spreadsheets, just like with Google Workspace and other cloud-based platforms.Their email service, Outlook, is also included in all Microsoft 365 plans and allows for custom email domains.

Another great aspect to Microsoft 365 is their class leading protection against phishing emails and virus attacks through attachments and URL links included in the email body. It also has the ability to provide encrypted emails for sending secure data and compliance packages for HIPAA and PCI as well.

#2: What features should I look for in an email service?

The features you need for your email service are unique to your business and your team’s needs. However, there are some general features that most businesses should consider.

First, look for an email service that allows you to use your own company’s website domain address. This isn’t necessary, but it does allow for more personalization and comes across as more professional.

Also, make sure the email service has spam- and virus-filtering software; you can put  all emails through a third-party application that has these features, but it’s much more convenient to have it built-in to your email service.

Finally, look for an email service that has 24/7 help desk support to be there whenever you have questions or issues with your email.

#3: Is a paid or free email plan right for my business?

Deciding between a paid or free email plan is dependent on your specific needs. Paid plans usually offer more features such as more accounts, a greater amount of storage space, and a custom domain option. All of the email services discussed above also have free trials, so if you’re unsure whether your business would benefit from the paid features, you can always try a free trial first!

#4: How do I set up a business email?

Setting up a business email is fairly simple once you’ve chosen which email service your business will use. The process varies a little for the different platforms, but the steps are generally the same.

If you’ve decided to go with a free option without creating a custom domain, you simply have to go to the website of the email service and sign up by entering all of your information as you would if you were creating a personal email.

However, if you’ve chosen a paid plan and wish to create your own email domain, you’ll likely have to provide more information. Some of the information you may be asked for is your domain name, your business’s name, number of employees, and your payment information.

#5: How do I keep my email account secure?

One of the simplest methods to secure your email account is to come up with a strong password. Simple passwords are very easy for hackers to decipher and gain access to your account.

Another important step to keeping your email secure is using a two-step verification which is available on both Outlook and Google Workspace. With two-step verification, you’ll be asked for an extra step when you login such as a unique verification code sent to your phone through a text message or call.
